Project Biller

As a Project Biller, you will play a crucial role in ensuring accurate and timely billing processes for the services rendered by the firm. This role will collaborate closely with project managers, clients, and internal teams to review project expenses, generate invoices according to Client deadlines, reconcile financial records.

Key Responsibilities:

  • Invoice Generation:
    • Collaborate with project managers to gather accurate and detailed information on project activities and expenses
    • Utilize Deltek Software to generate invoices based on project milestones, time entries, and expenses.
  • Financial Record Keeping:
    • Maintain organized and up-to-date financial records related to project billing.
    • Reconcile billing information with project documentation to ensure accuracy.
  • Client Communication:
    • Act as a point of contact for client billing inquiries.
    • Address client concerns and provide clarification on billing-related matters in a professional and courteous manner.
  • Collaboration with Project Teams:
    • Work closely with project managers to understand timelines, budget constraints, and contractual limitations.
    • Communicate effectively with project teams to obtain necessary information for billing purposes.
  • Reporting:
    • Generate regular reports on billing activities, outstanding invoices, and financial performance for management review.
    • Provide insights and recommendations to improve billing processes and efficiency.
  • Compliance:
    • Ensure compliance with client contracts and billing guidelines.
    • Stay informed about industry and client regulations and standards related to billing and invoicing.

Required Qualifications:

  • Degree in accounting, Finance, Business Administration, or a related field.
  • Minimum 3 years' experience in billing for a professional services firm. Proficiency in in Microsoft Word and Excel
  • Strong attention to detail and accuracy
  • Excellent communication and interpersonal skills.
  • Ability to work independently and collaboratively in a team environment.
  • Ability to work in a fast-paced environment driven by Client deadlines.

Desired Qualifications:

  • Bachelor's degree in accounting, finance or business administration or similar field.
  • Experience working in Deltek Vision or VantagePoint
  • Knowledge of engineering or construction industry billing practices is a plus.
  • Experience working in the AEC industry in a similar role.
  • Experience with contract review and compliance.
